Program Assistant
The Program Assistant for Main Desk Operations is the RHD’s assistant in the administration and operation of a residence hall's main desk. The Main Desk PA reports to the RHD for supervision and evaluation. Specific duties are assigned by the RHD.
General Requirements
1. Take duty on an equal and rotating basis with other staff members.
2. Serve as an appropriate role model to students, taking care to model good study habits, concern for the welfare of others, and responsibility to one’s community.
3. Serve as a role model by personally following University and Residence Life policies.
4. Consistently interpret and enforce such policies and regulations, and encourage participation in enforcement.
5. Attend orientation and training sessions as required, including Department Desk Manager meetings and Activity Center meetings.
6. Provide duty coverage during academic break periods, as staffing requires.
7. Live in residence hall and eat in residence hall dining facilities.
8. Perform other duties appropriate to the position as assigned by the RHD.
Opening and Closing of Halls
1. Organize the main desk for all student check-in/out processes for hall openings and closings.
2. Organize main desk supplies and equipment before fall opening and for storage at the end of the academic year.
3. Select two desk receptionists and two alternates willing to return early in the fall to organize the main desk for hall opening.
4. Inventory all desk equipment before the hall opens, at mid-year and after the hall closes.
5. Complete the desk and activity center portion of the End-of-Year report.
Desk Operations
1. Hire, supervise and evaluate desk employees to supplement Community Advisor hours.
2. Establish a training program for all desk workers; update the desk manual as needed.
3. Schedule all desk workers.
4. Work closely with RHD, hall government and RHD secretary in establishing all main desk policies and procedures.
5. Supervise the Activity Center Manager.
6. Check main desk log for daily events.
7. Hire, train and supervise mail workers.
8. Perform a daily inventory of loan key operations. Update the key code as needed.
9. Keep accurate records of employee work hours and coordinate payroll with the RHD.
10. Maintain postage stamps and cash in desk cash box.
11. Consult with RHD with regard to closing and opening desk hours around break periods or if the desk needs to close during normal desk hours.
12. Evaluate all desk workers at least once per semester.
13. Assist the RHD with any necessary hall improvements for the desk.
14. Update the main desk rosters and mailboxes as occupancy changes occur.
